How to add and manage prompts?

Prompts are the search queries that CrowdReply tracks across AI models on your behalf. They represent the questions your potential customers ask AI assistants and your visibility in those answers is what CrowdReply monitors.


You can manage your prompts from the Prompts page under the AI Search section in your sidebar.


Your prompt usage


At the top of the Prompts page, you'll see a usage bar showing how many prompts you've used out of your plan limit:

For example, if you're on the Starter plan and have added 8 prompts, you'll see "8 of 15 prompts used."


Adding a new prompt


  1. Click the Add Prompt button on the Prompts page
  2. In the modal that appears, enter your prompt text — this is the question you want to track (e.g., "What are the best email marketing tools for small businesses?")
  3. Click to save the prompt


CrowdReply will begin tracking this prompt across your available AI models on the next scan cycle.



Active vs. Inactive prompts


The Prompts page has two tabs:


  • Active — Prompts that are currently being tracked. These count toward your plan limit and are scanned regularly.
  • Inactive — Prompts that have been paused. They retain their historical data but are no longer scanned for new responses.


You can deactivate a prompt to free up a slot without losing its historical data, and reactivate it later when needed.


Tips for managing prompts effectively


  • Cover different intent types — Mix commercial ("What's the best..."), and comparison ("X vs Y") prompts for comprehensive coverage
  • Think like your customer — Use the exact phrasing your target audience would type into ChatGPT or Perplexity
  • Rotate low-performing prompts — If a prompt consistently shows zero visibility and isn't relevant, deactivate it and replace with a more targeted one
  • Monitor the usage bar — If you're approaching your limit and need more prompts, consider upgrading your plan
