How often is your AI visibility data updated?

Your CrowdReply dashboard is powered by regular scans of AI platforms. Here's what to expect in terms of data freshness and why AI search data behaves differently from traditional SEO.

How often does CrowdReply scan AI platforms?

CrowdReply runs your tracked prompts against AI models on a 24 hour interval recurring basis. Each scan queries every active prompt across the AI models available on your plan, collects the full responses (including citations, mentions, and source links), and updates your dashboard with the latest data.

You can see when your data was last updated by checking the date context on your Overview dashboard.

Why AI search results change frequently

Unlike traditional Google search results, which tend to be relatively stable week to week, AI responses can change significantly from one day to the next. Here's why:

  • Real-time web access — Many AI models (ChatGPT with Browse, Perplexity, Google AI Mode) actively search the web when answering questions. New content, trending threads, and fresh discussions get picked up quickly.
  • No fixed rankings — There's no "page 1, position 3" in AI search. Each response is generated fresh, and the brands mentioned can vary based on what sources the AI finds most relevant at that moment.
  • Model updates — AI platforms regularly update their models and search behavior, which can shift responses.
  • Source freshness — AI models tend to favor recent, highly-engaged content. A Reddit thread that gains traction today could influence AI responses tomorrow.

This volatility is actually an opportunity — it means strategic engagement can produce results faster than traditional SEO, where rankings take months to shift.

Using date range filters

On the Overview dashboard, you can filter your data by time period:

  • Today — Latest scan results
  • Last 7 days — Short-term trends
  • Last 30 days — Default view, good for spotting patterns
  • Last 90 days — Medium-term performance
  • Last year — Long-term trends
  • All time — Complete history

These filters apply to your Visibility Score chart, competitor rankings, citation data, and engagement opportunities.

Use shorter ranges (7d, 30d) to see the impact of recent engagement, and longer ranges (90d, 1 year) to track overall progress.

What to expect after engaging

When you engage on a cited thread through CrowdReply:

  1. Your comment goes live — Usually within 24–48 hours via our engagement engine
  2. The comment gains traction — Upvotes and replies build over the following days
  3. AI models re-scan — On their next crawl, AI platforms pick up the updated thread content
  4. Your dashboard reflects changes — CrowdReply's next scan captures the updated AI responses

The full cycle from engagement to dashboard change can take anywhere from a few days to a couple of weeks, depending on how quickly AI models re-crawl the specific sources.

Tips for monitoring your data

  • Check your dashboard regularly — Weekly reviews help you spot trends and respond quickly
  • Compare time periods — Use the date range filters to see before/after impact of engagement campaigns
  • Watch the change indicators — The up/down arrows on Visibility Score and Share of Voice show directional movement
  • Review specific prompts — Some prompts may respond to engagement faster than others
